Terms & Conditions


Booking and Payment

For all bookings we require credit/debit card details and payment in full before arrival. Payment by credit card is subject to a surcharge of 2%, no charge for debit cards.

Payment will be processed 21 days before the agreed arrival date, at which point we send a letter of confirmation attaching the credit/debit card receipt.

Rooms should not be considered reserved until acknowledgment of payment and our confirmation of the booking has been received.

The rates are per room per night based on two people sharing inclusive of breakfast and all taxes.  We reserve the right to vary the rates quoted without notice at any time. 

Payment of Final Accounts
Payment of your final account (drinks, special requests etc) is acceptable by cash or by debit card. Any payment by credit card will be subject to a surcharge of 2%.

Minimum Stay
The minimum stay is two nights. Three nights over Bank Holiday Weekends. Four nights over The Lattitude Festival Weekend.

Check in/Check out
Check-in is from 16:30hrs to 17:30hrs on the day of arrival.
 
Check-out is before 11:00hrs on the day of departure.

Access
By virtue of its age and construction and in particular steep entrance steps and a narrow staircase to the bedrooms we regret that the accommodation is not suitable for wheelchair users nor for those with limited mobility.

Children
Sorry, we cannot cater for children under the age of 16.

Teenagers
Sorry, no unaccompanied teenagers.

Pets
Sorry, we cannot accommodate pets.

Special Dietary Requirements
Special dietary needs must be specified at the time of booking. We are unable to cater to anyone with a serious/life-threatening nut or food allergy.

Food and Drink
Only food and alcoholic drinks purchased from Barley House Southwold may be consumed on the premises.

Smoking
Smoking is not allowed anywhere on the premises nor immediately outside the entrance/exit. A charge of £50.00 is payable for deep cleaning if smoking is detected in our rooms.

Damage
Guests are responsible and liable for any breakages or damage to the accommodation or its contents. We ask that guests report any incidents as they occur. We do not normally charge for minor breakages, but we may invoice you for repair or making good if the damage or breakage is significant.

If the room is not suitable for the next letting due to damage or smoke issues, the cost will be born by the responsible card holder, all payments will be collected from the Credit / Debit card on file on or after departure.
 
The Owners, do not accept any liability for any damage, loss or injury to any guests or their vehicles or possessions, unless proven to be caused by a negligent act by ourselves or our employees or contractors whilst acting in the course of employment.

Keys
All guests are responsible for the safe keeping and security of their issued keys. A standing charge of £100.00 will be made for lost or mislaid keys in order to pay for replacement of the front door lock and cutting additional keys.

Personal Property 
Guest's personal property is the sole responsibility of the guest.

Faults & Complaints
Any faults or complaints must be reported at the time of the occurrence. Any complaints received after the event will not be accepted. In the event of major failure of equipment, property or utilities, remedial action will be taken as quickly as possible. The Owners cannot be held responsible for any inconvenience caused.

Statutory Requirements
Barley House Southwold is subject to statutory controls, including those relating to fire, licensing, health, hygiene and safety. These must be strictly observed by all guests.

Guests must not allow anyone access to Barley House without the owners' permission.

The licensed bar is strictly for paying guests over the age of 18 only. The sale of alcoholic beverages is at the discretion of the owners who reserve the right to withdraw this facility without notice.

Cancellation Policy
In the event of cancellation or part cancellation within 21 days of your planned arrival, we reserve the right to charge the full amount of your stay should we be unable to re-let the accommodation. Cancellations received before 21 days of your planned arrival will be reimbursed to the full amount of the room rate (less transaction charges).

No-shows will be charged for the full amount of the stay.  Arriving after 22:00hrs without prior arrangement could result in you being unable to access Barley House with all charges still liable.

We would only cancel your stay if your accommodation was unavailable for reasons beyond our control. We would, however, attempt to offer you alternative accommodation.  If this was not possible, or unacceptable to you, then we would refund all monies paid by you for your stay. Our liability would not extend beyond this refund.

We strongly recommend that you take out holiday cancellation insurance.

Special Requests
Whilst every effort will be made to fulfill special requests, we can not guarantee these and failure to do so will not constitute a breach of contract.

Termination Policy
Barley House Southwold reserves the right, at its discretion, to terminate without notice, an individuals stay where deemed necessary through unacceptable behaviour or as a result of actions which are likely to endanger or offend others. (Please note that anti-social behaviour and non compliance of our strict non smoking policy would constitute termination). In such circumstances any outstanding account must be settled, no refunds whatsoever will be made.

Parking
As with many beachfront properties in Southwold, Barley House has no dedicated parking facilities. Free parking is on a first come, first served basis in many of the town's side streets and public car parks. Cars are parked at the owner's risk and we accept no responsibility for loss or damage to vehicles.

Privacy
It is a legal requirement that you provide your full name and address when registering. Overseas visitors must also provide their nationality, passport number and place of issue and next destination. None of your personal details will be shared with any other parties, at any time, except where there is a legal requirement to do so. We may also request proof of identity upon arrival.

Guest's e-mail or postal addresses will only be used by the owners to let the guest know of any updates relating to Barley House Southwold.

Effective Date
These terms and conditions supersede all others and are effective from 21st February 2011. The right is reserved to amend the contents without notice.

By booking this accommodation you have entered into a legally binding contract with Barley House Southwold under the terms and conditions as detailed above.
